Every company has all kinds of administrative processes. From CRM (customer relationship management) to project management, from quotations to invoicing, time registration to leave registration. In the case of XS, an online ‘all-in-one tool’ is used with which it is all possible and can all be combined: Teamleader.
FOR HOW LONG HAVE YOU BEEN WORKING WITH TEAMLEADER? WHAT WAS THE MAIN REASON FOR USING THE PROGRAM?
We have been using Teamleader since June 2018. Before that, we worked with various separate Excel files, but we desired to be able to invoice more efficiently, to digitize more and to gain more insight into the projects. We then started looking for a program that would allow us to work much more effectively and efficiently, combine things and become more transparent. CAN YOU EXPLAIN WHAT THE TEAMLEADER PROGRAM CAN DO?
• CRM: You can manage the data of all customers and associated contacts. • Project management: In Teamleader you have an overview of all current projects per customer, and the fundamental data per project. For example, the time registration and project invoices are linked to the project information. If you are looking into the customer data, you also have an overview of all deals (quotations) that belong to that customer, all current projects of this customer, the status of these projects, etcetera. You can click on anything, which makes it very user-friendly. • Time registration: In the module ’time tracking’ every employee records his/her hours worked per day, linked to the relevant project. As a result, the time tracking can be found in the project information and can be invoiced to the client. • Invoicing: Teamleader generates and sends the required invoice. The invoice is therefore directly linked to the relevant project, the associated customer and the statistics. • Management Information: Teamleader generates various standard statistics, but you can also export customized overviews, so you have all the necessary information available.
IS TEAMLEADER SPECIFALLY FOR THE ARCHITECTURE INDUSTRY?
No, Teamleader is made for SMEs, not just for the architectural industry.
ARE THERE ANY PROCESSES FOR WHICH YOU DO NOT USE TEAMLEADER?
Of course, our accounting runs completely outside of Teamleader and is really a separate program. There is, however, a link through which the invoices are exported daily to our accounting program. The personnel administration also remains completely outside of Teamleader; Teamleader is not made for this either. are you satisfied with the decision to change to teamleader? I certainly am. We benefit a lot from it in our processes and it saves considerable time. We also hear from customers that they are satisfied with, for example, the transparency and availability of quotations and digital invoicing. This does not alter the fact that we occasionally run into ‘bumps’, because of our specific working method and wishes. But we can solve most hurdles ourselves, or in consultation with the relevant Teamleader employees. In short, I am satisfied with the way things run.
